Once requests are received, THD will ensure that your customer is contacted within less than 30 minutes.

Initial call with your customer, our first priority is to identify their most immediate needs for lodging and to make hotel arrangements as needed.

    •  THD will only facilitate lodging options that have been approved by you
    • Generally completed within the first hour of activity depending of course on the customer’s needs and requirements.
    • Coordinate all arrangements, billing procedures, and payment provisions with the hotel lodging for your customer.  We only bill room and tax charges for authorized nights.  These arrangements exclude charges to the client (THD) for incidentals otherwise normally associated with hotel rental, for example, room service, movie rentals, valet service, etc.
    • Check in with your customer to ensure that they have arrived and are checked into the hotel.

If longer term  temporary housing will be required, then we establish what initial time period is approved.  THD will immediately begin the search for suitable temporary housing arrangements for your customer. This process includes the following service functions:

  • Contact your customer by our Leasing Consultants to determine their temporary housing requirements. Factors include location, family size, whether or not pets need to be accommodated and requirements for furniture.
  • Utilize our housing availability database to identify several candidate properties for your customer to view. THD does their due diligence to minimize our customers to exposure to foreclosed properties and landlords with questionable reputations.
  • Upon selection, THD will review lease agreements and rates, and give final lease agreement numbers for final approval.
  • Once approved, THD will make all lease execution and payment arrangements between the landlord, THD, and your customer.
  • Coordinate move-in activities for your customer, and arrange for the prompt delivery of any furniture rentals.
  • Post move-in, THD will place a customer care call to your customer to ensure that the move-in was successful and that all details and furniture delivery have been completed.
  • Manage all cash flows / rental payments for furniture and housing rents, and invoice your company based on your specific requirements. 
  • Conduct follow-up calls to your customer 45 days prior to move-out to coordinate move-out details or requirements for extensions. In situations where extensions may be indicated, THD will coordinate directly with your Adjuster for claim status determination and extension approval as may be warranted.
  • Upon move-out, THD will coordinate with the landlord and your customer to ensure that all lease arrangements have been met by all parties and that the temporary housing lease terms have been fulfilled.

All information as it relates to temporary housing arrangements is maintained in real-time, and available through our THD virtual office portal.
